E-mail configuration

What is SPF

Sender Policy Framework (SPF) is an email validation system designed to detect email spoofing attempts (spam or phishing by spoofing the sender’s email address). The system provides administrators with a mechanism to define who is authorised to send messages with that domain (e.g. @mediaddress.eu), allowing the recipient to check the list of host IPs authorised to send email for that domain.

What is DKIM

DomainKeys Identified Mail (DKIM)

allows an organisation to take responsibility for a message in transit. The organisation is a manager of the message, whether it generated it or forwarded it. Its reputation is the basis for assessing whether to trust the message for further handling, such as delivery. Technically, DKIM provides a method to validate the identity of a domain name associated with a message through cryptographic authentication. The identity is independent of other e-mail characteristics, such as the From: field of the author.

Why now

For security reasons, SPF is nowadays increasingly demanded as a mandatory requirement by an increasing number of Internet service providers. This means that the receiving mail server either does not deliver e-mails to the end user that do not have the necessary authorisation, or delivers them with a warning (‘unsafe e-mail’).
In addition, DKIM makes it possible to verify that the e-mail in the sender’s path has not been corrupted or forged. The guarantee that the sender’s server has authorisation to send on behalf of a particular domain and the certainty that the email has not been altered considerably increase the likelihood that the email will reach the recipient.

What to do

Technically, the SPF record is a TXT-type record associated with your personal domain. In this record, written with a particular syntax, mail servers (SMTP) are listed that can send emails with an email address from your domain. Mediaddress uses the service of Mailgun Inc. (https://www.mailgun.com/) to send e-mails to journalists. After registering a third-party domain (mediaddress.[yourdomain].[com|en|eu etc.]) level on your DNS you can configure it so that SPF records are configured to include mailgun among those enabled for sending, as follows: “v=spf1 include:mailgun.org ~all”

After configuring the TXT, CNAME and MX memories with the values easily available from the Mediaddress interface. The configuration of the sending system will be optimal to achieve the best performance in terms of reliability and thus deliverability.
