The journalists present in the database refer to the professionals and publicists who make up the editorial staff and are divided by role (director in charge, deputy, editor-in-chief, department manager, correspondent, collaborator, editorial board, etc.). There are also two other types:
In macro and micro topics, the macro topics, or fathers, refer to a large area such as “Culture”, “Economy”, “Society”, “Politics”, etc. The micro-topics, or children, pertain to circumscribed and specific topics. At any time it is possible to select the macro topic including all the micro topics, or select only the micro topic excluding the others.

Subscribers who have the indication of the social addresses available in their package (ask for an upgrade to Mediaddress if necessary) have additional important information, a space within the journalistic file and the masthead that lists the tweets made with the ability to directly retweet the message, reply and share on other social networks such as Facebook, Linkedin and Tumblr.
data of the journalists of the editorial staff are reported to us directly by the editorial secretariats in the phase of inserting or updating the mastheads.
The main method of updating the database is periodic contact with the editorial secretariats to which we send e-mails with the list of editorial journalists to be updated. When the lists are returned, the changes are entered. At the same time we monitor the news of “turns of seats” in the world of information that appear in the national media. Finally, the electronic check on the signatures of the articles allows us to identify journalistic presence in the media.
The system is well established and categorised according to the type of media. There is a monthly update for national media headquarters and for periodicals with the highest distribution, and bimonthly updates for regional offices and for periodicals with average distribution. There is a quarterly update for local media and for periodicals with medium to low distribution and a four-monthly update for periodicals that are printed with this same frequency.
“Search” the search criteria to be set for creating a mailing list are now available
“Lists” is the archive of recorded mailing lists; to open one, position the mouse on the name and click on it
“Go directly to the journalist/magazine profile” this allows searching for a publication by title and/or a journalist by name
“Create Record” allows the creation from scratch of personal profiles of journalists/magazines
“FAQ” is the list of the most commonly asked questions and their answers. It also reports the alphabetical list of news reports
“Account” contains data referring to the type of subscription, administrative data, Windpress
Select the “Databases” link located under the Search criteria. Opens a page with an indication of the active subscription databases with the possibility of selecting only those on which you intend to work. Set the flag and save. The indication of the selected databases appears on the right at the top of the page.
With the nominal search in the white field at the top (marked with the lens icon). Enter the surname and first name (optional) and select the name that appears in the list of the program’s suggestions. The selected journalist’s profile and the available information automatically opens.
With the nominal search in the upper white field (marked by the magnifying glass icon). Type the title of the header, the program suggests a list of items common to the typed string. Select the one of interest from the list. The header file will automatically open with the available information.
By selecting among the three alternatives, editorial journalists (they are those who are part of the editorial staff, they are reported to us directly by the editorial secretariats), freelancers (they are who have self-registered in the database to appear in the newspapers for which they collaborate), contributors (they can be trainees, opinion leaders, in general figures who may also go beyond the field of journalism and who contribute as experts writing with a certain frequency for the newspapers), they are also called “other signatures”, we derive them from the electronic control carried out on the articles, for the national newspapers those with a number of articles greater than 10 are mentioned.
Enter the publisher’s name in the field of the same name, the list of journalists will automatically appear on the screen, positioning yourself on the “magazines” link takes you to the list of publications:
From the search menu, set the criterion “Magazines specialized in” by selecting the macro topic “Economics/Finance” or the micro topic “Economics”, the list of journalists who work in all the specialized magazines among the different types of media will automatically appear. By positioning yourself on the “newspapers” link, you access the list of newspapers.
Press Report: the journalistic service is the reporter’s topic and allows you to set the macro or micro topic of interest.
Type of Media: this allows you to select categories of newspapers among Press agencies/Printed Press/OnLine/Radio/TV. Each category gives you greater detail that allows the type of newspaper to be defined.
Area: allows you to select local media (newspapers, radio, TV periodicals of a local nature and broadcast locally), national (with news of a national nature and broadcast throughout Italy), foreign newsrooms (foreign newspapers with correspondent newsrooms in Italy).
Journalist Headquarters: selecting the geographical area allows you to identify where the journalists work from. The opportunities are: Country, Region, City. By selecting a country other than Italy, we can identify the Italian correspondents abroad.
Publications specialising in: allows to identify the specificity of the arguments of the media (e.g.: women’s media, tourism magazines, music radios, online magazines/gastronomy blogs, IT agencies, etc.).
Publication frequency: allows you to select the media output frequency (weekly, monthly, quarterly, etc.).
Position: this allows you to select the journalists positions (editor in chief, reporter, contributor, freelance, etc.).
Tags: allows identifying the names of journalists customized by the user with one or more keywords.
Editor: this allows you to find the names of journalists and newspapers of a certain editorial office.
By optionally setting one or more search criteria from the menu on the left, Journalism Service, Type of Media, Area, Journalist Headquarters, Newspapers specialized in, Frequency, Role, Tags.
Once the result is obtained, you can proceed in three ways:
It is absolutely necessary to respect the fundamental rules of the press office by sending the material to no more than two journalists in the same editorial office.
The selection of journalists to be involved is made easier by the fact that the list, being sorted by publication, groups the names, makes the roles, direct contact details and notes visible.
When choosing, it is advisable to give priority to names with direct e-mail addresses.
To speed up the selection, it is useful to go to the magazine results link to eliminate those of little interest. Near the heading “Journalists” (at the top of the column) there is a field to automatically flag all names on the page. Setting the flag is necessary when a list of journalists has to be added to an already created list (set the flag on all pages).
With the mailing open on the screen at the same time, the possible work options on that list will open at the top right, ”Delete list”, “Export list” to export it to Excel and/or PDF, “Send mail to list” to send automatically by mail, ”Shipping” to get the report of the mailings (emails sent, opened, not opened, etc.), “Share”, to give colleagues with whom you share the same group of passwords permission to read, write and modify the mailing lists created.
By selecting ”Lists” from the menu at the top left and “clicking” on the name of the mailing list to open. Furthermore, from the list of lists it is possible to delete, merge several lists and make copies
The selection of a single name to add to a mailing list can be done either by searching by surname by typing it in the white field above, or by “clicking” on the name of a list of journalists on the screen. His profile opens automatically, the option “Add journalist to list also appears at the top right. This offers two possibilities: adding that name to an already registered mailing list by selecting it from the drop-down menu, or saving a list from scratch even with only that name by choosing “New List” and giving the name .
With the list on the screen, select one or more names to add to a mailing list, select the “Add journalist to list” button. From the list of saved mailing lists (LISTS), put the flag on the list to be copied and select “Copy list”.
The following changes may be made to a journalist’s profile who is present on a mailing list:
With the mailing list on screen, select the “Export list (pdf/xls)” option.
From the list of mailing lists available in the “LISTS archive, set the flag on the mailing to be deleted and select the “Delete list” button at the top right.

Search results always relate to journalists, they are presented in alphabetical order of publication, to locate only the list of publications, select the “newspapers” link next to the “result”.
The automatic sorting is ALPHABETICAL by title. To change it, select the “order by option: by title, by type of media (newspapers, periodicals, etc.), by journalist last name, by role.

In order to work on the list of names of journalists or export and send an email, you must necessarily save the list by selecting the appropriate button.

This method allows you to send your communications by personalizing the names of the recipients (who will receive your message with their name and surname indicated) and composing your HTML message with extensive text formatting options. The editor is organized in such a way that blocks can be added to the body of the email which in turn contain elements (text, images, buttons, divider, etc…), which can be customized as needed The communication will reach the recipients as it has been set up graphically. It is possible to view a preview by also choosing the type of device on which it is opened (Desktop, Tablet or Mobile).

In this phase it is possible to choose whether to include in the mailing even those names who do not have a direct e-mail by setting the “flag” on the “Send to all e-mails available in the mailing list” option. Confirm (optionally) with the “OK” key

The button at the bottom right allows you to go back to the previous action, view the preview, even from desktop/tablet and mobile phone.

The one indicated inside the form, in order of preference the one entered by the subscriber, in the alternative the direct address of the editorial staff entered by Mediaddress.
In the absence of one of these, the generic address of the editorial staff will be considered if the option “Send to all emails available on the mailing list” is confirmed in the form for sending the press release.

Emails sent from your email program may not exceed 6 MB. If you use the program’s internal editor, individual attachments cannot exceed 2 MB.
If the ‘Send to all’ option is not flagged at the time of sending, journalists without direct email will not be included in the shipment.

Sender Policy Framework (SPF) is an email validation system designed to detect email spoofing attempts. The system offers the administrators of an email domain a mechanism for defining the hosts authorized to send messages from that domain, allowing the recipients to check their validity. The list of hosts authorized to send emails for a given domain is published in the Domain Name System (DNS) for that domain, in the form of specially formatted TXT records. Phishing, and sometimes even spam, uses false sender addresses, so posting and verifying SPF records can be considered in part an anti-spam technique. Yes, it is possible by following a few precautions:
With the header tab on screen, select “download PDF” at the top right.
With the reporter’s file on screen, select “download PDF” at the top right.
With the result of a search for journalists or a mailing list on screen, select “Export list (PDF/XLS)” at the top right.
With the result of a search for journalists on video, select the “Magazines” link to view the list of publications, then select “Export list (PDF/XLS)” top right.
In the XLS file alone there are 3 columns dedicated to hosting all the information relating to contact details, addresses and accounts.
With the reporter’s card on screen, select “Edit card” top right. The profile can be customized by adding additional journalistic roles/services/magazines, telephone numbers, e-mail addresses, postal addresses, social accounts, notes. Select “Save” to confirm the added data. The Data entered is visible only to the group of linked passwords.
With option “Tags” placed inside the reporter’s file (under his name) it is possible to add personal keywords. These can be searched for by setting the “Tags” criterion from the menu.
Before creating a new journalist profile, make sure they are not already in the database. Also, make sure the publication they work for is in the database too, otherwise you must first proceed to create the publication profile (see the following FAQ). Select “Create profile” from the menu on the left and fill in the fields (those with a red asterisk are required). The program automatically checks for possible matches and if it finds one then it will ask you to confirm or delete the same name that already exists in the database. If you confirm, the program transfers the telephone data that is already there. When selecting the “Delete” button (because it is not the same person) you can proceed to insert new data. Select the “Save” button to confirm the profile. The entered data is only visible to the group with the associated password.
They are keywords/codes that the subscriber can enter in journalists’ files to label them and subsequently be able to extract them from a menu search. Select the “Add Tag” item, type in the keyword and confirm the same item which is composed just below, confirm with the “Add Tag” button or close if not wants to save. In the search criteria on the left, by selecting the “Tags” item, a drop-down list of assigned keywords appears, flag the desired one to extract all the names of journalists to which it has been assigned.
By positioning the arrow in the white search field and entering the note you are looking for, the list of journalists who have the requested note attributed to them will appear.
On the horizontal menu, all right, there is the account icon , clicking you access the section which has a sub-menu on the left, clicking on ‘My customizations’ displays the list of journalists you have added or modified. Some journalists may have a triangle icon and in the ‘reason for removal’ column the words ‘Journalist no longer accessible from the search’, in these cases the form and/ o the modifications were linked to journalists and/or newsrooms no longer present in the database.
To make an inserted profile accessible again, it is sufficient to modify the editorial staff in which he works, in the case of addresses it is necessary to insert them on another profile or create a new one.
Profile: displays the list of accesses to active databases
Subscription: displays the type of subscription, the features included in the package in use and active databases (Italy, Europe, Rest of Europe/ the Middle East/Africa, etc.
Permissions: display (for the account Administrator only) of shared accesses and the possibility of modification/cancellation of lists by colleagues
Administration: displays (only to account Administrators) administrative data related to the current subscription (outstanding invoices, etc.)

La banque de données a été créée il y a plus de 26 ans et a eu durant toutes ces années plus de 3 000 bureaux de presse abonnés ainsi que plus de 6 000 Journalistes inscrits. MEDIADDRESS offre les normes les plus élevées de sécurité et garantit le respect total des principes de transparence,d’exactitude, de proportionnalité et de responsabilisation, prévus par la législation sur la protection des Données RGPD. MEDIADDRESS a mis en place les moyens techniques nécessaires à sa réalisation ainsi qu’une organisation adéquate.Nos procédures font l’objet de contrôles continus afin de répondre aux exigences de la certification UNI EN ISO 9001 : 2008. Les Données personnelles des Journalistes traitées sont des Données communes (nom de famille, prénom, nom du média, fonction occupée dans la rédaction, les domaines de compétences et intérêts, arguments/services actuels, l’adresse électronique de rédaction du Journaliste, le numéro de téléphone direct au siège de la rédaction, les adresses des réseaux sociaux. (« Données des Journalistes »). S’il s’agit de Données non pertinentes et qui ne sont pas fondamentales à la réalisation des objectifs indiqués, elles ne seront pas prises en compte ; comme par exemple, les informations qui ne concernent pas directement la profession (numéro de portable, adresse électronique privée ou d’autres coordonnées), sauf si le Journaliste les a expressément fourni au moment de son inscription dans « l’Espace Journalistes ». Enfin, nous ne sélectionnons pas les informations appartenant aux catégories particulières indiquées dans l’article 9 du RGPD.
Nous stockons et utilisons les Données des Journalistes dans les limites prévues par la législation sur la protection des Données personnelles et dans l’intérêt légitime de fournir biens et services à tierces personnes. Les Données des Journalistes sont traitées exclusivement dans le domaine lié à l’activité journalistique et aux médias en général. Les Données que nous utilisons sont absolument fondamentales pour la mise à disposition de nos services et répondent aux objectifs; avec l’accord préalable de l’autorisation fournie par les Journalistes à publier leurs Données.
Nos Utilisateurs (clients, définis dans le paragraphe 4 « Destinataires ») utilisent les Données des Journalistes, comprises dans nos produits et services, afin d’identifier les Journalistes plus pertinents avec lesquels ils peuvent instaurer un dialogue et gérer la réputation de la propre société, à travers la diffusion des propres communiqués, annonces, lancements de produits, ou bien de communications pertinentes, à propos de la collectivité, provenant des institutions et de l’administration publique.
En particulier, nous stockons et traitons les Données des Journalistes dans les buts suivants :
Les mises à jour sont effectuées suivant un échéancier programmé et suivant ces trois moyens: (i) par la demande envoyée périodiquement aux rédactions de confirmer leurs Données , (ii) par les nouvelles provenant de la revue de presse nationale et internationale qui devront être confirmées par les rédactions, (iii) par le signalement de la rédaction ou des Journalistes.
Ces méthodes permettent de préserver la qualité des Données et de garantir l’exactitude et la mise à jour.
Les Données peuvent être fournies directement par le Journaliste ou la rédaction avec laquelle le Journaliste travaille.
Deux intérêts légitimes constituent la base juridique : l’intérêt légitime de la rédaction à bénéficier d’un service d’optimisation du flux des communiqués de presse et l’intérêt légitime du Responsable à fournir un service à la hauteur des exigences du marché. Le service offert par MEDIADDRESS répond aussi à l’intérêt de la collectivité à recevoir une information complète et approfondie ; à l’intérêt des Utilisateurs à identifier rapidement le Journaliste et le média à qui envoyer le propre communiqué, dans le but de se faire publier. Conformément à la législation du RGPD, le Responsable a procédé à une Évaluation des intérêts légitimes « Legitimate Interest Assessment » et à une évaluation de l’impact des Données personnelles. Cela prend en compte, entre autres paramètres, la nature professionnelle des Données des Journalistes, l’utilisation étroitement liée à l’activité journalistique et les bénéfices grâce à des Données exactes et contrôlées par le Journaliste.
Nous partageons les Données des Journalistes seulement selon les manières décrites dans cette lettre ou autrement selon celles requises et appliquées par la loi.
Nous partageons les Données des Journalistes avec nos Utilisateurs dans le cadre de la fourniture de nos produits et service, avec la garantie d’un accès sécurisé et limité dans le temps.
Les Données des Journalistes pourraient être partagées, selon les finalités indiquées au paragraphe 2 , avec :
Tous ces sujets sont définis « Destinataires ».
Dans les relations contractuelles avec les Destinataires, le Responsable s’engage à prendre les précautions nécessaires afin que les Données Personnelles soient traitées par les Destinataires dans le cadre des finalités du traitement indiquées ci-dessus et dans le respect du RGPD .
Les Données sont conservées pendant toute la période nécessaire à l’aboutissement des finalités du service indiquées ci-dessus. Les critères déterminant la période de conservation sont : (i) l’exactitude des Données, (ii) la fréquence de parution du média et (iii) si le Journaliste n’exerce plus son activité professionnelle.
Puisque le traitement des Données des Journalistes est fondé sur l’intérêt légitime spécifique et sur l’équilibre entre le propre intérêt et la confidentialité de ses propres Données, la personne concernée a le droit de s’opposer à tout moment, pour quelque raison que ce soit, au traitement des Données à caractère personnel, en envoyant une demande écrite à l’adresse électronique suivante privacy@mediaddress.eu.
La personne concernée a aussi le droit d’obtenir la confirmation que ses propres Données personnelles existent, d’accès auxdites Données, de savoir quelles Données ont été collectées, de rectification ou de suppression (Article 17 du RGPD), à la modification sous forme anonyme, à la limitation du traitement de ses Données, de recevoir les informations personnelles dans un format structuré, communément utilisé et lisible (Article 20 du RGPD).
Dans tous les cas, la personne concernée a le droit de déposer une plainte auprès d’un organisme de protection des Données ou auprès des autorités compétentes si elle estime que le traitement de ses propres Données est contraire à la législation de protection des Données personnelles en vigueur.
